Purpose and lawful basis for processing

Our purpose for collecting this information is so we can facilitate the event and provide you with an acceptable service.

The lawful basis we rely on to process the personal data of delegates, exhibitors and our staff is Article 6(1)(e) of the GDPR, which allows us to process personal data when this is necessary to perform our public tasks as a regulator.

The lawful basis we rely on for processing delegates, exhibitors and staff personal data about dietary or access requirements is consent under article 6(1)(a) of the GDPR and explicit consent under article 9(2)(a) as this type of information is classed as special category data.

What we need

For delegates we’ll need your name and contact information as well as information about your job role. We’ll also need your organisation’s name, its size and the sector in which you work.

For exhibitors we’ll need a named contact for your organisation along with their contact details. We also ask for a statement about the unique experience your organisation can bring to our delegates.

For anyone attending the conference we’ll request information from you about any dietary requirements or access provisions you need on the day. Payment information will also be required for the fee.

We will be live streaming and recording the sessions in the main auditorium so your image and audio may be captured as part of this if you choose to attend these sessions. There will also be a camera crew filming the event for a short promotional video and a photographer around the building.

What we do with it

If you are not successful in securing a place, we’ll let you know and offer to hold your details on a reserve list in case a place becomes available.

If you are allocated a place at the DPPC, we’ll contact you with further details about the event.

The conference venue is Manchester Central. We don’t share the information that you give to us when you fill the form to register your interest in an identifiable way with the venue.

Do we use any data processors?

Yes – we use data processors to help facilitate the event who will process information in line with our instructions.

We collect registration information from our conference microsites. This is done via an online reporting tool hosted by Snap Surveys. You can read their privacy policy here. Data collected by Snap Surveys for the ICO is stored on UK servers.

SEE tickets will administer payment for the event – please see their privacy notice. If you pay by cheque your information is processed by the finance department at the ICO.

Further information about our other suppliers will be provided in due course to conference delegates and will be available from our DPPC microsite.

Do we transfer data overseas?

We are live streaming the sessions from the main auditorium. Audio and images are transferred via a US server.
