Purpose and lawful basis for processing 

Our purpose for collecting your personal information is so we can facilitate the event and provide you with an acceptable service. 

The lawful basis we rely on to process the personal information of delegates and our staff is Article 6(1)(e) of the UK GDPR, which allows us to process personal information when this is necessary to perform our public tasks as a regulator. 

What we need 

Delegates will need to register for the conference using the registration portal, which is hosted by Orcula. About one week prior to the event you will receive an email containing your login details for the Eventsair conference platform that will allow you to access the live conference on the day. 

To register, we’ll need your name and email address as well as information about your job role and level of experience. We will also need your organisation’s name, its size, the sector in which you work and some information about whether you’ve previously attended this conference or any other ICO events. We will provide automated captioning in all of the online sessions but will ask you for details of any additional access requirements. 

On the day we are planning to record the conference. However, delegates cameras and audio are not used for the duration of the conference and will not be captured in the recording. Any questions you choose to submit using the Q&A function can be submitted anonymously, and all questions will be read out anonymously. Through the conference broadcast platform we’ll collect some data about your movements between the different sessions on offer at the event as well as your feedback about the sessions you attend.  

What we do with it 

Everyone who has registered to attend the conference can attend and there is no charge. We’ll use your contact information to communicate with you about the event and the information you submit in the registration survey is used to shape the conference agenda. Any other information is used to help us understand who we are reaching through our event and where we can make improvements. 

The 2025 event will be hosted online and we have partnered with Amplitude Event Solutions, Orcula and Eventsair to provide the registration and broadcast platforms. 

Correspondence about the event will be sent directly from our partners at Amplitude Event Solutions by email. This will include your unique user name and password to access the conference platform on the day. 

Information about delegates movements between the sessions and time spent in each area will be used for conference evaluation only by the ICO. 

How long we keep it

Any information sent to or gathered by our partners will be stored after the conference for two weeks. We are giving instruction for all information related to the conference to be deleted from the broadcast platform on 29 October 2024.

Do we use any data processors? 

Yes – we use data processors to help facilitate the event who will process information in line with our instructions. 

Do we transfer data overseas? 

No.
